Flight Operations Coordinator

Gary Jet Center is an aviation services company with an established aircraft charter and management department, as well as two FAA Repair stations and an FBO.

Gary Jet Center is seeking a self-motivated individual to join our Flight Operations Department as a full-time Flight Operations Coordinator. The ideal candidate will support the staff and report to the Director of Flight Operations to ensure the seamless execution of flight operations.

Essential Duties and Responsibilities


  • Expense auditing
  • Invoicing for owner and charter flights; ensuring accurate billing
  • Ensuring trips are paid by per terms with owners or clients

Financial Audits:

  • Monthly confirmation of paid trips
  • Tracking account balances and ensuring timely bill updates

Flight Log Management:

  • Auditing and correcting flight logs in a timely manner
  • Enter flight logs into tracking system


  • Scheduling and billing for aircraft exterior/interior details
  • Handling incoming wires and tracking transactions internally

Additional Responsibilities:

  • Managing contract fuel releases and uploading to trips
  • Provide updates into concierge software for based aircraft per scheduled flights
  • Managing related billing items and confirmations for all trips
  • Tracking travel expenses and coordination of department for loyalty
  • Ensuring logistical accuracy for all trips

Job Requirements

  • Background in aviation preferred, but not required
  • Degree in business preferred, but not required

We manage corporate aircraft under Part 135 and Part 91 with worldwide operational specifications and provide comprehensive maintenance services under our Part 145 Repair certificates.
